Deputy Director/Associate Director/Senior Manager/Manager (Major Gifts)
- Manage a portfolio of existing donors which may include individuals, corporations and foundations with a view of enhancing the Donor-University relationship. In doing so, to better understand their philanthropic intent and how we can move them towards giving again
- Work with colleagues and volunteers to cultivate and solicit philanthropic support from the assigned donors towards University’s priorities
- Serve as a primary contact point for these donors, when applicable
- Actively participate in donor stewardship to build a positive giving experience at NUS by working with various stakeholders within the University
- Manage fundraising projects as assigned
- Support the University management in the cultivation of key donors as assigned
- Undertake and perform other duties as assigned
- At least a degree from a recognised university
- At least 3 years’ working experience in sales, key account management, or project management and/or relevant working experience
- Excellent command of written and spoken English
- Knowledge of written and spoken Chinese will be an advantage

Possess the following skills:
Associate Director (Events Management)
- Develop an integrated events strategy for donors, prospects and volunteers to strengthen their affinity to NUS.
- Lead and manage the Events team which is responsible for the conceptualisation, development and implementation of an annual, strategic and bespoke calendar of events.
- Ensure excellent event management, planning and coordination services to the office to execute relationship building events and special ad-hoc donor appreciation events.
- Keep abreast of industry benchmarks and achieve quality event productions.
- Provide effective leadership to ensure proper events planning, production, logistics/operations, marketing/communications, administration and post-event follow-ups.
- Ensure all events are executed to meet desired objectives.
- Ensure all events are executed smoothly and in a timely and cost-effective manner.
- Ensure all services and goods purchased for the events meet the University’s financial and procurement policies.
- Ensure vendors/suppliers for the events are properly managed.
- Source for and manage sponsors for events and ensure all sponsorships comply with the University’s prevailing guidelines and regulations.
- Prepare and manage the budget for the events team and provide periodic progress and financial reports to senior management.
- Supervise the events team and ensure that all team members carry out their tasks effectively and efficiently.
- Help team members to grow and develop their potential.
- Undertake and perform other office related duties as assigned.
Qualifications & Requirements:
- At least a degree from a recognised university
- At least 7 years’ direct working experience in events management (of which at least 3 years must be in a managerial/leadership position)

Senior Manager/Manager/Assistant Manager (Gift Fund Registry and Faculty Services)
- Lead, guide, manage and oversee Gift Fund Registry and Faculty Services operation in DVO is efficiently carried out according to core mandate and performance matrix.
- Establish procedures and processes for day-to-day operation.
- Work with DVO relevant teams to bridge knowledge and information gaps pertaining to changes in NUS Statutes and Regulations relevant to gifts to the University for faculties and departments.
- Periodic review of gift-related enquiries from NUS departments so as to establish or improve procedures and processes that enhance efficiency and effectiveness.
- Review gift recording documents and highlight exceptions to the University’s statutes, regulations and policies that are relevant to acceptance of gifts (eg, naming approval and government matching grant approval).
- Work with various DVO teams and NUS departments to fulfill job purpose; meet set goals and objectives.
- Lead and champion projects to enhance operation efficiency and effectiveness.
- Implement and maintain appropriate internal controls.
- Manage, coach and develop the team.
Qualifications & Requirements:
- At least a degree from a recognised university
- 3 to 5 years’ managerial experience in gift processing, stewardship or development services within a higher education institution (auditing experience will have an added advantage)
- Meticulous and detailed oriented
- Good conceptual thinking skills
- Able to interpret NUS statutes, regulations and policies and able to see multiple relationships
- Good organisation skills and able to prioritise workload
- Able to multi-task and deal with interruptions in an energetic environment

- Proficient in MS Office and familiar with advance MS Excel functions.
Assistant Manager/Senior Executive (Knowledge Management)
- Ensure continuous improvement of records in the donor and prospect management database
- Bridge discussions between DVO users and Information Services to resolve issues surrounding data quality and data capturing, including process improvement
- Create a suite of regular reports and create ad-hoc reports to meet the office needs by using SQL and other software applications
- Automate profiles for frontline activities by using the information from the donor and prospect management database
- Ensure on-going development and review of the Standard Operating Procedures (SOP) within the office
- Identify, collect and update data from internal/external sources to improve analytics capability
- Establish processes and document standards on data entry
- Oversee the integrity and enrichment of information in the database, including (but not limited to) data-scrubbing, establishing processes for tracking lost records, as well as the creation and conduct of surveys
- At least a degree from a recognised university
- Knowledge of SQL programming
- 2 to 3 years’ relevant working experience
- Some working knowledge in:
Assistant Manager (Communications & Multimedia)
- Assist in defining strategy and implementing communications campaigns
- Responsible for managing the department website, including project managing the roll-out of a new website, developing video content (including filming and editing) and running a digital media campaign.
- Conceptualise, write and edit materials (brochures, letters, articles, speeches, media responses, video interviews etc.) for DVO, NUS and related external publications.
- Liaise with vendors (printers, website vendors, venue operators, photographers etc.)
- Liaise with counterparts in NUS Departments and Faculties
- Manage junior team members
- At least a degree from a recognised university (those with diploma in graphic design will have an advantage)
- At least 3 years’ relevant working experience
- Ability to grasp new information quickly, understand key concepts and communicate these effectively through the written word
- Experience in writing for different audiences and adjusting writing style accordingly
- Experience in writing fundraising materials will be an advantage
- Experience in creating a wide variety of communications materials, both for print and web
- Experience with digital media
- Web design experience, including use of CMS, and project management experience is desirable but not essential
- Video editing and photography skills are desirable but not essential
- Good interpersonal skills
- Team player and able to work independently
Management Assistant Officer (Gift Processing)
- Collect daily donations received by Development Office, faculty and departments via direct mail, online portal or other media, etc., record these gifts timely and accurately in accordance with prescribed data standard. Liaise with faculties and other offices on various gift processing related matters.
- Analyse donor data for proper and accurate updating into the database (Raiser’s Edge).
- Analyse gifts to determine appropriate campaign, funds and appeals for each gift to be processed; determine appropriate pledge and recurring gift to apply gift.
- Balance and reconcile gift amount collected via various payment channels with gifts received by Development Office, various departments and faculties with Cashier’s Office and Office of Financial Services.
- Keep track of and process pledge payment and monthly/yearly recurring gift via various payment channels.
- Keep track of staff payroll deduction. Work with faculty/department and Office of Financial Services on data submission and reconciliation. Process donation upon receiving successful deduction file from Office of Financial Services.
- Keep track of gifts eligible to issue official gift receipt, either tax-deductible or not tax-deductible according to whether tax reference number has been provided, liaise with relevant departments to ensure official gift receipt is issued in a timely manner.
- Prepare official gift receipt upload file for SAP after completion of checking process.
- Prepare gift collection summary and ensure its accuracy before submission to supervisor.
- Perform data clean-up, verifying and merging of duplicate records and gift records.
- Assist in reconciliation between SAP and Raiser’s Edge; or Raiser’s Edge and other database system used by other offices in the University.
- Assist in work procedure documentation.
- Assist in continuing development of computerised systems, formulating system specifications, testing new programs and procedures.
- Participate in meetings on work coordination and work procedures concerning gift processing as needed.
- Organise and maintain the integrity of hardcopy filing system.
- Prepare gift documents for digital office archiving and reconcile the results against hardcopies to ensure completeness.
- Work with external storage provider on the management of past years’ gift documents. Update registry on depositing, collection and destruction in accordance to policy.
- Produce daily, weekly, monthly, quarterly and yearly gift reports.
- Attend to requests for information regarding gifts, generating queries of gift information from Raiser’s Edge and prepare gift reports from the system as required.
- Assist in compiling statistics, preparing and distributing reports.
- Identify opportunities to automate processes and reduce workload.
- Report exceptions or work problems and propose solutions.
- Perform other duties as assigned.
- At least a recognised diploma
- At least 2 years’ working experience in an administrative position
- Good organisation skills
- Numerically inclined and detail oriented
- Work well under pressure with periodic heavy workloads

- Learn complex data entry procedures quickly
- Knowledge and experience in managing donor data will be an asset
Management Assistant Officer (Donor Relations)
- Provide general administrative and operational support:
- Undertake and perform other duties as assigned
- At least GCE “A” level or recognised diploma
- At least 3 years’ working experience in an administrative position, preferably with customer-centric or events management appointments
- Good verbal and written communication skills
- Detail-oriented
- Ability to organise and prioritise work
- Ability to work independently with little supervision
- Good interpersonal skills
